The following position is open in our Charlottetown, PE office for individuals looking for a challenging opportunity to develop a career within our dynamic consulting practice.
We have an exciting opportunity for an experienced and customer focused Administrative Assistant who will be responsible for the reception and office administration duties in our branch office in Charlottetown.
Your Key Responsibilities:
- Greet and welcome guests with a positive and helpful attitude, both in person and on the phone;
- Formatting and preparation of letters, reports and proposals;
- Tracking of proposals;
- Project filing and archiving;
- Compiling expense reports;
- Minor accounting functions;
- Preparation of project specifications in our CRM;
- Organize and book travel for staff;
- Compile and take meeting minutes;
- Other general office duties; and
- From time to time, cross coverage with other departments and offices may be required.
Your Capabilities and Credentials:
- The ideal candidate would have graduated with a college diploma in a business related or office management course;
- Experience with ISO 9001 policies and procedures and engineering consulting firms would be an asset;
- A background in the formatting and preparation of reports and proposals;
- Advanced knowledge of MS Office 2010 software (e.g., Word, Excel, PowerPoint);
- A motivated self–starter willing to take on improvement initiatives;
- Experience in contract administration duties and consential would be an asset;
- Experience with MS Project would also be an asset;
- Excellent verbal and written communication skills;
- Strong interpersonal, organization and time management skills;
- Highly professional demeanor with emphasis on client service; and
- Overtime may be required from time to time.
