Overview of the Role:
We are currently seeking to hire a full-time, Administrative Assistant extraordinaire. The ideal candidate will be interested in a career in the mortgage industry and will be provided with the opportunity to continually grow within the company.
As an administrator at Pilot, you will be working in a fast-paced team environment while helping to ensure loans close as promised and on time. The successful candidate will pride themselves in exceeding customer expectations throughout the loan process, while enhancing the relationship of the originator with both clients and referral partners. You must have strong attention to detail with the ability to remain efficient and organized while handling a number of tasks.
Key Responsibilities:
- Engage and communicate with clients, lenders and referral sources in a friendly and professional manner.
- Answer incoming customer inquiries effectively, while actively listening to their needs and concerns.
- Manage multiple responsibilities at once while ensuring client timelines are met.
- Manage the fulfillment of mortgage documents within client files.
- Enter client information and data efficiently.
- Help drive social media and marketing initiatives.
- Adhere to confidentiality requirements in handling all aspects of private and personal data.
- Maintain, organize, and coordinate accurate and comprehensive records and electronic documentation.
Qualifications:
- A minimum of 2 years’ experience in a past administrative role is preferred.
- Experience in the finance or information technology industry is considered an asset.
- Capable of working independently, while at the same time contributing to a team environment.
- Excellent written and oral communication skills.
- Ability to work under tight deadlines in a fast-paced, dynamic environment.
- Capability to foster effective working relationships with clients.
- Display a high degree of accuracy and thoroughness.
- Strong typing and computer skills.
- Proficient user of Microsoft Outlook, Word, Excel and PowerPoint.
- Personable, collaborative, and results oriented.
