Site Administrator – Stuart Olson

Reporting to the District Administration Lead, the Site Administrator will be responsible for time sheet processing, file maintenance, and daily reporting. They will work closely with the rest of the site team and offer support as needed.

This position is based in the Cold Lake, AB area on a client site.

Responsibilities

  • Input timesheet data into SAP and client systems.
  • Assist and support all activities related to managing the operation, including but not limited to preparation for meetings, document management, and monitoring timelines and deliverables on behalf of the operations.
  • LEMS ticket entry.
  • Review and process various shifts and schedules.
  • Support the entry and reconciliation of subcontractor invoices.
  • Process third party equipment invoices; match PO’s and distribute accordingly.
  • Support operations and field as required.
  • Answer phones, filing, data entry and electronic scanning.
  • Assist in forecasting, tracking, and managing budgets, purchase orders (POs), and invoices.
  • Prepare status reports to provide project status updates to management and ensure all procedures are followed for all aspects of projects.
  • Any other duties as required by the operation.


Qualifications

  • High school diploma
  • 1-2 years’ experience in a similar role
  • Payroll and labour standards knowledge an asset
  • Advanced computer skills in Excel, Word, and SAP an asset
  • Ability to effectively prioritize and execute tasks independently with strong time management skills to meet deadlines in a high-pressure environment
  • Highly developed interpersonal skills and strong customer service orientation
  • Sense of urgency and strong commitment to achieving goals
  • Ability to forge, grow and maintain positive relationships with multiple groups
  • Strong written and oral communication skills
  • Ability to work within tight deadlines and prioritization of work to achieve them
  • Strong organization, analytical, critical thinking, problem-solving skills, and a high degree of accuracy and attention to detail
  • Drug and Alcohol testing required
