  • POSITION SUMMARY

The Executive Assistant to the CEO is responsible for providing comprehensive support, Board of Directors, and Executive Team and managing the organization’s office operations, including working remotely with different departments. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions with a high level of professionalism and confidentiality.

Reporting directly to the CEO, the Executive Assistant to the CEO provides executive, administrative, and development support to the president and the Board of Directors. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters of the CEO. The Executive Assistant serves a liaison between the CEO, Executive Team, and Local population; organises and coordinates executive outreach and external relations effort; oversees special projects.

  • PRIMARY RESPONSIBILITIES

Assists the CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments prioritizing inquiries and requests while troubleshooting conflicts; making judgments and recommendations to ensure smooth day-to-day engagements, completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, agendas and compiling documents for meetings.

Communicates with the general staff on behalf of the CEO and coordinates logistics with high-level meetings both internally and externally. Coordinates meetings and strategic activities. Schedule events and meetings; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of Board Secretary. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.

Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.

Researches prospective corporate and foundation donors to identify and evaluate current needs and assembles materials needed for the proposals.

Serves as the primary point of contact for internal and external constituencies on all matters of the CEO, including those of a highly confidential or critical nature. Prioritize and determine the appropriate course of action, referral, or response, exercising the judgment of reflecting the CEO’s style and organization policy.

Administratively supports HR director (recruiting support, documents formatting, surveys set up and other administrative tasks), drafts emails.

Serves as the CEO’s administrative liaison to the Board of Directors and manages Board activities, which include coordinating semi-annual Board meetings and dinners; semi-annual Board staff lunches/receptions/new board member orientations; arranging hotel accommodations for out-of-town Board members; processing reimbursement requests; and compiling, assembling, and distributing Board meeting materials.

Provide “gatekeeper” and “gateway” roles, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team. Complete projects by assigning work to appropriate staff, including the Executive Team, on behalf of the CEO.

Coordinates Executive, Finance, Governance and Nominating, and Audit Committee meetings, maintains confidential files and contact information; coordinates meetings, conferences, and committees both on and off-site to support the CEO’s agenda.

Manage all aspects of the organization’s office services. Evaluate and assist in developing office policies and procedures for improved workflow and anticipate future needs as the organization grows. Assist in the selection of vendors and purchase equipment, services, and supplies necessary for the operation of the organization.

Manage information systems operations including hardware, software, desktop support, internal telecommunications, and strategic systems development, planning, and database management.

Replenish office materials such as snacks, printer supplies, paper, office supplies, etc.

Provide hospitality to all guests and help to create a welcoming environment.

Answer main phone line and respond to inquiries.

Process and distribute daily mail.

  • QUALIFICATIONS/EXPERIENCE

Strong ability to execute work with a diversity, equity, and inclusion lens.

Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.

Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

Bachelor’s degree or equivalent experience with social sciences background and an interest in national and global issues.

Technical proficiency and problem-solving skills related to, IT support and troubleshooting; and cloud-based environments.

Strong verbal and written communication skills.

A high degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and funded partners.

Make appropriate, informed decisions regarding priorities and available time.

Ability to complete a high volume of tasks and projects with little or no guidance.

Able to maintain a high level of integrity and discretion in handling confidential information.

Excellent judgement is essential.

  • Skills and Abilities

Strong interpersonal skills and the ability to build a relationship with stakeholders, including staff, board members, external partners and donors.

Development Fundraising programs to increase donor contributions and funding sources.

Proficiency in Windows, MS Word, Excel and PowerPoint; fund-raising data management systems knowledge, Database management.

Ability to learn new software

Ability to conduct research and present data in a succinct and well-written manner.

Ability to work independently and with professional discretion/

Excellent writing, editing, grammatical, organizational, and research skills.

Ability to work with a broad range of different people including foreign nationals.

knowledge of Hindi and English.

Excellent management, time-management, and problem-solving skills.

  • Working Conditions

The functions of this position should be performed in a private office location.

Occasional travel may be involved.

Contract length: 12 months
