BBC Sounds is part of Radio & Music in the Content Division of the BBC. Radio & Music is home to 8 of the BBC?s national radio stations, 4 of the BBC?s 6 performing groups, the BBC Proms, BBC Sounds, BBC Music Introducing and BBC Audio production across radio, tv and online.

About the Business Team:

The Business team sits at the heart of Sounds. We provide support to everyone working in BBC Sounds and are the go-to people from recruitment stage (both staff and freelance) through to leaving the team. We support the wider Sounds team with HR/People, finance/payments/contracts, IT/Tech support, ad hoc project management or diary management; the business team cover it all.

This role is key to the steering of the ship – working closely with the senior management team of Sounds to ensure they have the support they need to do their work efficiently.

Main Responsibilities:

BBC Sounds is looking for a dynamic and engaged Team Assistant to support the Director of BBC Sounds and 3 senior managers in the team, plus provide general business support to the wider team, covering a variety of tasks.

The role is based in Salford.

You will ensure that our senior managers are able to work as effectively as possible, handling their diaries and booking meetings. You will also take on a variety of other tasks to support the wider Sounds team as needed.

We?re looking for someone who actively seeks to resolve issues, and enjoys working with a wide variety of people across the organisation at all levels.

As part of our team is London based, there will also be trips to London when needed.

Specific responsibilities

Support senior managers on Sounds:

  • Manage diaries for the Director of BBC Sounds and 3 senior managers: Head of Content Discovery, Head of Content Strategy, Head of Curation
  • Book travel and conferences
  • Organise meetings; potentially take minutes and follow up on actions

General business support for wider Sounds staff:

  • Maintain our office spaces in Salford and London ? to support hybrid ways of working across Salford and London offices.
  • Keep email distribution lists up-to-date
  • Help organise team events and socials
  • Look for opportunities to improve admin processes within the team
  • Ad hoc activities such as: booking couriers, ordering stationery & equipment, logging IT asset disposals; collating information requests

Are you the right candidate?

  • Highly organised and effective at prioritising a wide range of tasks
  • Experience of managing multiple diaries and schedules of senior leadership roles Band F and above
  • Able to work with multiple key stakeholders/managers
  • Able to build good working relationships with people at all levels in different parts of the business, internal and external
  • Experience of office software packages (in particular Outlook, Word, Excel and PowerPoint)
  • Strong communication skills
  • Able to spot potential issues in advance and work to resolve (e.g. diary issues)
  • Able to get up to speed quickly with new tools and systems and use a variety of methods to do this
  • Determined, resilient, enthusiastic, approachable, helpful, flexible
  • Experience of handling sensitive data, and keeping information confidential where needed
  • Ability to use own initiative with minimal supervision and deal with routine queries as they arise, escalating to others as necessary
  • Track record of attention to detail and accuracy
  • An interest in the success of BBC Sounds
  • Experience of carrying out a range of business support / team assistant activities
