Position Summary & Description

The Executive Assistant to the Founder & CEO (Executive Assistant) is a critical position to our team, and will be responsible for providing comprehensive support to the CEO, Sage Wellness Group Consultant Team, and our client partners. This position will work remotely with limited travel expectations, and requires the ability to anticipate needs, think critically and strategically, and offer solutions and innovation with a high level of professionalism and confidentiality. This position will serve as the primary point of contact internally and externally. The Executive Assistant must be creative with a commitment to racially equitable, trauma-informed, and mindful approaches and enjoy working within a small (and growing!) entrepreneurial environment that is mission-driven and community oriented. The ideal candidate will have the ability to exercise good judgment within a variety of situations and with a diverse client partner base, with excellent written and verbal communication, administrative, and organizational skills, and have the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from inception to completion, and must be able to work under pressure (at times) to manage multiple activities and confidential matters with discretion.

Primary Responsibilities

  • Provide sophisticated calendar and email management for CEO. Utilize software such as Click Up, Dubsado, virtual meeting platforms, and Google Calendar to prioritize inquiries while troubleshooting potential scheduling conflicts; make judgements and recommendations to ensure smooth day-to-day engagements. Plans, coordinates, and ensures the CEO’s schedule is followed. Provides a “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO’s time and office.
  • Serve as a Liaison and Provide Support to Client Partners. Arrange and handle all logistics for client partner meetings and events; schedule meetings; draft agendas; develop, compile, and distribute presentation materials; record and disseminate meeting minutes; design and produce complex documents, spreadsheets, and reports; maintain contact lists. Maintain client partner confidentiality.
  • Complete a broad variety of administrative tasks that support the CEO’s ability to effectively lead the organization. Communicate effectively with SWG staff and client partners; provides a bridge for smooth communication between client partners and Sage Wellness Group team members; demonstrates leadership within the organization to maintain credibility, trust, and support with Sage Wellness Group team members; assist in the development and coordination of various projects and initiatives
  • Support the onboarding of new Sage Wellness Group team members and client partners. Reflect the values of Sage Wellness Group in all written and verbal communication; create a foster an internal and external environment of physical and emotional safety, inclusion, self-care, and mindfulness
  • Coordinate. Serve as the primary point of contact, overseeing the coordination of all Sage Wellness Group team meetings, retreats, and assist with team meetings as needed; edits and completes first drafts for written communications using various software and technological modalities; follow up on contacts and leads and support the cultivation of ongoing relationships with current and potential client partners
  • Work closely with the CEO to ensure awareness of upcoming commitments and responsibilities. Act as a “barometer”, having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate the needs of the CEO in advance of meetings, trainings, etc.
  • Manage information systems operations including software, desktop support, social media calendar, internal telecommunications, and strategic systems development and planning. Provide leadership to all levels of the organization; prepare budget recommendations for IT support
  • Other responsibilities as assigned. Invest in the overall benefit of the organization

Qualifications & Experience

Successful Candidates will proudly possess the following qualifications:

  • Strong ability to effectively execute work from a racial equity, mindful, and trauma-informed lens
  • Emotional intelligence and maturity and ability to effectively provide and receive constructive feedback through a collaborative and relational approach
  • Significant executive support experience, including supporting C-level executives
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Ability to automate processes and maintain a Master Schedule that allows organization
  • Expert proficiency with Microsoft Office (Word, Power Point, Excel), GSuite, desktop publishing software, Social Media platforms, and CRM software (Click Up, Dubsado, etc.)
  • Expert level written and verbal communication skills
  • Highly organized with impeccable attention to detail
  • Highly resourceful team player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing priorities, and demonstrate the highest level of client partner service
  • Ability to differentiate and respond with appropriate levels of urgency to situations and/or events that require quick response and those that do not; ability to pivot when needed; excellent judgement is essential
  • Demonstrated ability to meet deadlines and propose solutions that contribute to a working environment of ease, community, and emotional/physical safety

Education and Experience Requirements (Note: Experience can be substituted for education)

  • Bachelor’s degree and/or a minimum of 5 years experience supporting C-level Executives
  • Experience and interest in internal and external communications and partnership development

This position is an outstanding opportunity for a highly-motivated Executive Assistant to assume a pivotal role in the evolution of a fast-growing and highly-respected organization. As such, compensation is competitive, and will be commensurate with candidate experience. The hourly pay range is between $35-$42 USD per hour, with the expected time commitment of 20 hours per week.
