As the Facilities and Office Services Specialist, you will be a critical player in creating an office environment that is fun, productive, and efficient. This includes focusing on office aesthetic/cleanliness, shipping, maintenance issues, office furniture moves, vendor management, and just overall being the point person for all things building-related. Reporting to the Employee Experience and Office Manager, you’ll help assess our current facilities processes and needs, and drive your own ideas on how to improve. Our office is growing and finding a positive, solutions-oriented person to help run our office infrastructure is a big focus.
Your responsibilities…
- Be an integral member of the Employee Experience Team, supporting a positive and productive office environment
- Provide stellar service to staff when addressing maintenance problems and issues
- Liaise with the Property Management company, including submitting tickets for maintenance and building relationships with the building
- Execute a daily workflow that includes kitchen maintenance (coffee, dishwasher), common space cleanliness, shipping, etc.
- Own furniture installs, including standing desks
- Manage office improvement projects, complete simple projects on your own or outsourcing when needed
- Partner with our IT team to ensure a stellar technology experience in the office
- Manage the physical logistics of employee experience initiatives, such as office events, trainings, etc.
- Maintain relationships with our workspace vendors (cleaning, plants, coffee, etc)
- Manage and maintain an inventory of office, printing, and shipping supplies
- Own shipping logistics and be the point person for shipping questions
- Ensure the physical appearance of the office by proactively tiding common spaces throughout the day
- Play a lead role as a Safety Officer (fire, first-aid, safety, and security)
- Work with the Office Manager on building operating budgets
Your experience and mindset…
- 1+ years of facilities experience (or equivalent)
- Mindset that no job is too small to have a big impact on employee happiness and engagement
- Strong positive presence and friendly demeanor—you are motivated by building relationships with colleagues
- Consider yourself a handy person with the ability to troubleshoot common office maintenance issues and furniture builds
- Vendor management experience
- Skilled in ticket management with the ability to be organized and constantly reprioritize based on business needs
- Proven ability to drive projects independently and a drive to get things done—you thrive when others are counting on you
- Belief that a clean and organized work environment makes a positive impact on employee experience
- Solutions-oriented, with the ability to know when to enforce rules and when to be flexible
- Comfortable with office technology and student mentality to learn new systems and tools
- Ability to fulfill the physical requirements of moving desks, equipment, etc., which includes lifting up to 40 pounds

- Compensation: Base salary of $47,000 – $50,000 based on experience. 40-hour/week in office; over-time eligible
