Full Job Description
Entourage Yearbooks is an innovative full service yearbook publishing company. We are seeking motivated individuals to join our team.
We are looking for a part-time office assistant, to help with answering inbound calls, organize and run daily administrative operations. We’d like to hire someone for 20 to 30 hours a week. The schedule is flexible but requires some hours on all 5 work days per week. The ideal candidate will be hard-working, able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.
Responsibilities
- Answer inbound calls to our main office line
- Sort and distribute communications in a timely manner
- Schedule and plan meetings and appointments
- Monitor level of office supplies and handle shortages
- Organize office resources and supplies
- Coordinate with other departments to ensure compliance with established policies
- Maintain trusting relationships with suppliers, customers and colleagues
- Perform receptionist duties when needed
- Maintain a variety of routine correspondence, reports, logs, forms, and/or other related information in assigned area of responsibility.
- Track recruitments and job posting
- Handle data entry duties
- Maintain multiple Excel Databases and run reports when needed
- Perform various routine clerical duties, such as maintaining department calendars; filing, making photocopies; travel arrangements; scanning documents, etc.
Skills
- Thorough understanding of office management procedures
- Excellent organizational and time management skills
- Analytical abilities and aptitude in problem-solving
- Excellent written and verbal communication skills
- Proficiency in Google Platform: Docs, Sheets, forms, etc.
