Job Description:

Under the supervision of the Vice President of Facilities, the Moving Coordinator is responsible for supporting the occupancy goals of the organization through effective planning and oversight of all Independent Living and Assisted Living moves, including move-ins, move-outs and transfers.

  • Manage the move process for move-in’s, move-outs, and transitions for Independent Living and Assisted Living, including moves from the main building to Caleb.
  • Assist incoming residents with all facets of transition and move to Duncaster, including but not limited to selections, move coordination, records transfer, telephone, internet and cable, and initial orientation.
  • Coordinate, oversee, and ensure timely completion of all steps identified in the move-in process checklist from application acceptance through orientation
  • Manage move calendar and ensure communication for all moves to ensure all members of Duncaster are aware and prepared
  • Coordinate New Resident Orientation dates – notices, letters, forms and photos.
  • Work with families to identify third party vendors to assist with move
  • Coordinate the cleaning and inspection of apartments before move-in and after move-out. Personally, ensures apartment readiness for all resident move ins.
  • Communicate incoming resident’s special needs or requirements to key department leaders.
  • Make sure all paperwork has been received and all information has been entered and appropriately disseminated prior to closing.
  • Ensure all relevant information and welcome materials are in apartment.
  • Makes sure all information has been entered in essential information systems as identified on move-in tracker to ensure a smooth transition.
  • Coordinate and orient the resident’s buddy based on information available and share any areas of concern or focus to enhance their move-in experience.
  • Perform other duties as directed within the timeline requested.

Job Qualifications:

  • Must be have strong project management skills and be organized and detail-oriented.
  • Must be able to demonstrate high-touch customer service behavior.
  • Excellent interpersonal skills required. Ability to demonstrate and model respectful and effective communication with all co-workers, residents, and visitors.
  • Must have working knowledge of MS Office programs including Word, Excel and Outlook.
  • Prior experience working with the geriatric population is preferred
  • Previous database entry experience is helpful.
  • Minimum of two years college preferred.
