1. Context

The Personnel & Administration Branch (PAB) is responsible for matters pertaining to personnel and administration. The Branch assists and advises the Commandant on all matters in the execution of his responsibilities and duties regarding all human resource activities and directs and oversees overall military and civilian manpower policy and personnel management within the NDC. The PAB authenticates, publishes and distribute correspondence, orders and instructions and administers the NATO military evaluation reporting system. The PAB provides support for civilian personnel including recruitment, management, administration, clearance, employment, payroll, as well as performance management and training. In addition, the Branch is responsible for developing, validating, coordinating, and maintaining the Peacetime Establishment (PE) for NDC including the validation coordination and submission of inputs required for all PE change requests. Finally, PAB manages all matters concerning privileges and immunities and reproduction services.

Flexibility, reliability, good communication skills, discretion, teamwork, as well as the ability to work independently are essential prerequisites. A very good level of English language proficiency is required whilst the knowledge of French and/or Italian would be beneficial but not essential.

The candidate is required to be enrolled in university degree programme or hold a university degree (preferably in Human Resource Management, Personnel Management, Business Management, Economics, or related subjects).

2. Job Description

The selected intern will report to the Branch Head.

Projects/Tasks:

  • Assisting with regard to the implementation of an e-leave system at NDC.
  • Collecting staff presence lists as well maintaining records of staff TDY, leave and sick leave telework and issues weekly reports of leave status.
  • Administratively supporting the implementation of the PE Change, in particular with respect to the documentation, records and cross-walk of personnel.
  • Providing assistance to the Branch Head (Personnel & Administration) and to HRM in dealing with personnel matters.
  • Drafting correspondence of a routine nature to national and NATO authorities.
  • Preparing administrative documents necessary to record arrival and departure of staff with NATO and national authorities.

A very good level of English language proficiency is required whilst the knowledge of French and/or Italian would be beneficial but not essential.

NATO Defense College is only able to offer internship to people who are at least 21 and under the age of 30 and citizens of a NATO member country.
